Position Overview
This is a part-time role, reporting to our CEO as an Administrative Assistant. For this role, you’ll need to be a resident of the United States and work on EST (digital nomads who travel outside of the USA can certainly apply).

This position is intended to begin with 20 hours / week, spread out over 4 or 5 days / week. For example, 5 hours / day Mon-Thur or 4 hours / day Mon-Fri.

The schedule will be generally consistent day to day, with work and collaboration happening in the morning EST. You'll collaborate with the CEO via regular video calls and Slack.

Mission
The mission of the Administrative Assistant is to stay five steps ahead of the CEO, tracking all of the administrative details, and clearing the path for him to make his greatest contribution to our company. The Administrative Assistant will be a key asset to the CEO by anticipating needs at an exceptionally high level, allowing him to focus on developing the organization.

While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week based on the CEO’s needs and the needs of business. The most important responsibility of the Administrative Assistant is to ensure that administrative tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity in order to support the initiatives of the CEO.

Responsibilities Include
  • Communicating on the CEO’s behalf both internally and externally
  • Email management on behalf of the CEO
  • Complex calendar management and scheduling (both personally and professionally) on behalf of the CEO
  • Varying personal and professional administrative tasks
  • Light project management
  • Light bookkeeping including invoicing and updating Quickbooks
  • Act as a remote office manager by handling various personnel, operations, and administrative duties
  • Assist in the recruiting and managing process of vendors and team members
  • Assist in the CEO’s responsibilities of Client Management, People Management, Recruiting, Business Development, and Finance

Proficiencies
Quality Communication: The assistant must be an excellent communicator, in both written and oral form. This includes proficiency in spelling, grammar, and punctuation. This also includes being able to take a large amount of information and summarize it quickly both in writing and orally on a regular basis. You must also be able to track communication (and be very responsive) across multiple channels without losing any details. Those channels could include virtual video calls, Slack messages, and emails.

High Level of Discretion: Since the assistant will regularly work with confidential information, discretion and sensitivity regarding information is a must.

Team Player: In addition to working directly with the CEO, the assistant will also work with members of the team. They’ll need to be able to collaborate and communicate well with team members, maintaining a can-do spirit and not complaining, making excuses, or gossiping.

Anticipating Needs: As a part of our commitment to enabling our CEO to serve our company and clients at the top of his game, the assistant will strive to anticipate needs and eliminate friction at work and home whenever possible. This means you know how to stay five steps ahead of your leader, clearing the path for him to make his greatest contribution.

Affinity for Technology: The assistant will be a technologically savvy Mac user and will not be intimidated by learning new technology. Proficiency in the following tech platforms is ideal: Slack, Zoom, Google Suite (including Google Sheets), Asana.

Note for Dads &Moms 
 
This can be a great opportunity for a stay-at-home dad or mom, however, please keep in mind that when you’re working on company time, I need your full attention. As a dad of a 2 and 3 year old, I know that trying to work and take care of my kids at the same time simply does not work (at least not with full attention). I need your full attention and effectiveness while you’re working.
