Grant and Administrative Coordinator

Salary: $48,000-$52,000

Position Description

Wildlife Habitat Council’s (WHC) Grant and Administrative Coordinator works under the supervision of the Finance and Operations Director to assist the senior leadership team and to ensure grant compliance with programmatic and fiscal requirements. This role provides administrative assistance and creates standardized reporting documents in accordance with US Government reporting requirements and interacts with grant members and partners. This role requires superb written and verbal communication skills and proficiency in Spanish.

Specific Responsibilities

Grants

  • Work with Field Based teams grant templates, reviewing documentation and requirements
  • Review written materials including marketing pieces, quarterly and annual reports, proposals and concept notes, and other written deliverables as needed
  • Support grant meetings

    Administrative

    • Provide ongoing administrative and logistical support to senior leadership team
    • Manage calendars and coordinate schedules as needed
    • Prepare agendas and meeting materials ensuring accuracy and validity of information
    • Organize and maintain electronic filing systems
    • Assist with the development of policies and procedures
    • Other duties as assigned

      Skills &Qualifications

      • Bachelor’s degree in related field or equivalent experience
      • Experience working with federal grants preferred
      • Proficient in writing and speaking Spanish
      • Ability to be professional, creative, flexible and organized
      • Excellent written and verbal communication skills
      • Ability to take ownership, seek guidance and not require task-to-task management
      • Aptitude for managing multiple tasks with may moving pieces and tight deadlines
      • High degree of proficiency with common technology tools including MS Office (Word, Excel, and PowerPoint) and Microsoft Teams
      • Ability to mirror WHC’s values and associated competencies internally and externally

        Work Environment

        The position is included in WHC’s dispersed workforce plan, providing the employee a choice to work out of the organization’s Bethesda, MD office or from home. This position is mostly office based, with limited physical work. Occasional travel to Latin America and within the United States for in-person events (staff retreats, WHC Conservation Conference, or similar) is expected. This position includes some light physical work.
