The Forest Stewardship Council-US, a member-led non-profit organization founded in 1993, is seeking a Promotional License Holder (PLH) Specialist to work closely with the Senior Marketing &Engagement Manager.

This position manages and promotes the use of FSC trademarks by our promotional license holders. This involves ensuring compliance with FSC guidelines and enhancing brand recognition through sustainable practices.

Essential duties and responsibilities: 

The Promotional License Holder Coordinator is a key member of the Marketing team. In this position, your responsibilities will include managing correspondence with Promotional License Holders, processing applications and overseeing payments, coordinating trademark reviews, and conducting supplier verifications. You will also play an essential role in reviewing products for Amazon's Climate Pledge Friendly badge.

Requirements

What you'll do:

Application Management:

  • Monitor and process applications, invoices, and payments.
  • Enter applications into US and FSC International databases.
  • Track application approvals and required modifications.

Legal Review &Coordination:

  • Submit contracts to FSC International legal and trademark teams for review, customization, and approval.
  • Track and communicate changes with active promotional license holders, applicants, and the FSC US marketing team.
  • Engage appropriate FSC US team members for customization review as needed.
  • Ensure version control and timely review of all contracts.

Supplier Verification:

  • Review supplier letters or sales documents.
  • Verify supplier certificates, and compare information to ensure validity, product scope, and alignment with original documents.
  • Send approval emails and maintain records in Salesforce.
  • Request updated information from the relevant parties if discrepancies are identified.

Trademark Review:

  • Review trademark requests and ensure compliance with FSC requirements and guidelines.
  • Approve and communicate approval, or provide feedback for necessary changes.
  • Document approvals in Salesforce and notify relevant parties if rejections are identified.

Product Review for Amazon's Climate Pledge Friendly Badge:

  • Review product listings, supplier letters, and trademark usage.
  • Conduct supplier verifications if necessary.
  • Ensure trademark usage aligns with supplier information.
  • Approve or reject products based on review outcomes.

Reporting:

  • Provide monthly and quarterly progress reports and additional updates as requested.
  • Track and report on exceptions and stalled applications.

Stakeholder Communication:

  • Respond to phone and email inquiries from the public and stakeholders.
  • Answer general questions about trademarks, licensing, and FSC certification.
  • Track communications to ensure stakeholder questions are answered by knowledgeable staff.
  • Schedule meetings between stakeholders and relevant staff, supporting meeting operations as necessary.

Collaboration and Continuous Improvement:

  • Work with the marketing team to develop promotional strategies for license holders.
  • Identify opportunities for process improvement and efficiency in managing promotional licenses.
  • Stay updated on FSC policies and trademark guidelines to provide accurate information and support.

You may be expected to contribute to our success by performing additional duties that support our vision, mission, and values.

Key Requirements:

  • Associate or 4-year college degree preferred.
  • We welcome applicants with diverse backgrounds, including experience in paralegal work, journalism, editing, insurance, transcription administration, medical coding or billing, mediation, or auditing.
  • Experience in a similar role, preferably in a nonprofit or membership-based organization is a plus.
  • Familiarity with Salesforce or other CRM's is strongly preferred.
  • Advanced proficiency in Microsoft Office, especially Excel.
  • Strong problem-solving abilities and a proactive mindset.
  • High attention to detail and organization skills.
  • Ability to manage multiple tasks and deadlines.
  • Strong communication skills, both oral and written.
  • Ability to work independently and as part of a team in a remote setting.

The salary range for this position is $60,000 to $70,000 annually, commensurate with experience and qualifications.
