As a Remote Personal Assistant at Medford Property Company, you will play a pivotal role in supporting the daily operations of our executive team. You will work closely with our senior management to provide efficient and effective administrative assistance, streamline communication, manage schedules, and contribute to the overall success of our organization. Responsibilities:

  • Administrative Support: Manage and organize calendars, schedule appointments, and arrange meetings for senior executives. Handle email correspondence, prioritize incoming messages, and respond to routine inquiries as needed.
  • Travel Coordination: Plan and coordinate travel arrangements, including flights, accommodations, and ground transportation for executive team members.
  • Data Management: Maintain accurate and up-to-date records, files, and documents related to company projects, contracts, and other essential information.
  • Communication Liaison: Act as a liaison between executives and internal/external stakeholders. Ensure clear and timely communication flow, handle incoming calls, and relay messages accurately.
  • Research and Reporting: Conduct research on various topics and compile data for reports, presentations, and special projects as requested.
  • Document Preparation: Assist in drafting, formatting, and proofreading documents, memos, and presentations.
  • Expense Management: Monitor and reconcile expense reports for executives, ensuring adherence to company policies.
  • Task Coordination: Coordinate and follow up on tasks assigned by executives to various teams or individuals to ensure timely completion.
  • Confidentiality: Maintain strict confidentiality regarding sensitive company and personal information.
  • Ad hoc Support: Provide additional support and take on various ad hoc tasks as needed.

  • Qualifications:

  • Proven Experience: Previous experience as a personal assistant or administrative assistant is preferred.
  • Tech-savvy: Proficiency in using remote communication tools (e.g., email, video conferencing, project management software) and MS Office Suite (Word, Excel, PowerPoint, etc.).
  • Organizational Skills: Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Communication: Excellent written and verbal communication skills, including professional phone etiquette.
  • Problem-solving: Resourceful and able to anticipate needs, identify issues, and propose solutions.
  • Discretion: Demonstrated ability to handle sensitive and confidential information with discretion.
  • Initiative: Self-motivated and proactive;able to work independently with minimal supervision.
  • Adaptability: Ability to adapt to changing priorities and handle multiple tasks simultaneously.
  • Team Player: Willingness to collaborate with various team members and assist where needed.
  • Flexibility: Available to work occasional extended hours to accommodate executive schedules and time zones.
